How to Brief a Painting Contractor
A simple checklist for project managers and owners to make sure colour choices, timelines and access are clear from day one.
1. Define the scope of work
- List every area to be painted: walls, ceilings, doors, frames, skirtings, exterior sections, common areas.
- Note any special surfaces: damp‑proofing, textured walls, feature walls, timber, metal.
2. Confirm colour choices and finishes
- Provide exact paint colours, codes and brands (or ask for recommendations).
- Specify finish types: matt, low‑sheen, gloss, enamel, varnish.
- Identify any areas needing stain‑blocking or primer.
3. Clarify preparation requirements
- Note repairs needed: cracks, holes, water damage, sanding, filling.
- Indicate whether old paint must be stripped or just cleaned and primed.
- Highlight problem areas: mould, damp, peeling paint.
4. Set access and working conditions
- Provide access times, security instructions, parking details, gate codes and contact persons.
- Confirm whether the unit is occupied, furnished or empty.
- Note restrictions: noise limits, shared corridors, lift access, quiet hours.
5. Agree on timelines
- Provide your required start date and deadline.
- Clarify whether work must be phased (for example, room‑by‑room).
- Confirm any blackout dates when work cannot take place.
6. Discuss protection and cleanup
- Confirm how furniture, floors and fittings will be protected.
- Specify expectations for daily cleanup and final handover cleaning.
- Note whether waste removal is required.
7. Establish communication
- Provide the main contact person for decisions.
- Agree on how updates will be sent (WhatsApp, email, site meetings).
- Decide how variations or snags will be handled.
8. Request a written quote
- Ensure the quote includes scope of work, materials and paint brands, labour, timeline, payment terms and any exclusions.
